GameSet HK's free event registration and check-in system is a complete organizer pipeline: a public signup page, a verifiably fair lottery draw, QR code check-in, an on-site waitlist system, waitlist backfill, and one-tap tournament start. The organizer just creates the event, sets up the form and shares the link — signups, draw publication, on-site check-in and starting the tournament are all handled by the system, for trading card games like Pokémon TCG, Riftbound (符文戰場) and Beyblade X.

How to run a signup event

From creating the event to starting games in six steps.

  1. Create the event

    Set up a hosted event in the app, with a capacity cap and standby size.

  2. Set up the form and timing

    Built-in fields for name, HKID first 4 digits, phone and email (with a PDPO consent checkbox), plus your own custom fields, an anti-bot question, and a registration open time.

  3. Share the signup link

    Post the link or QR on IG, WhatsApp or Discord — players sign up from their phone.

  4. Publish at the scheduled time

    First-come-first-served fills instantly; lottery mode draws selected players and standby automatically at the set time (or the organizer publishes manually with one tap), and sends each player a notification with their personal check-in QR.

  5. QR check-in

    Staff scan each player's personal QR (or type the check-in code manually). Players who didn't get their notification can re-send it themselves via phone verification.

  6. Start the tournament

    The checked-in roster drops straight into a Swiss tournament — one tap generates the shared game link and play begins.

02Two publication modes

First-come-first-served (full means full) or a lottery (auto-publish at a set time / one-tap manual publish). Signup timing never affects lottery odds.

03Three-tier roster

Selected, standby and walk-in. Walk-ins self-register by scanning a QR code — players fill in the form on their phone and join the walk-in list instantly.

04QR check-in

Selected players get a personal check-in QR embedded in their email. Staff scan it or type the check-in code — no camera needed — and players can re-send notifications via phone verification.

05Start-of-day coordination

When check-ins exceed the cap, the system runs a draw by tier — selected, then standby, then walk-in. No-shows among the selected backfill automatically from standby, so nobody has to sort it out by hand.

06One-tap tournament start

The eligible checked-in list becomes a tournament instantly — Swiss or single elimination — generating the shared game link, flowing straight into the Swiss pairing engine or the knockout bracket.

Is there a free event registration system?
Yes. GameSet HK's built-in event registration system is completely free and requires no sign-up: public signup pages, verifiably fair lottery draws, QR check-in, waitlist backfill and one-tap tournament start. Free for events up to 64 players; large events can unlock up to 1024 players (verified) — get in touch to arrange.
Is the lottery draw fair? Can it be rigged?
The server generates an 8-character hex seed and uses a seeded Fisher-Yates shuffle to pick winners, with the seed published alongside the result. Anyone can re-run the draw with the same seed — it always produces the same result, so rigging is mathematically impossible. See the verifiably fair draws section.
How does waitlist backfill work?
The roster has three tiers: selected, standby and walk-in. Selected players win their slots at publication and everyone else joins standby in draw order. If a selected player doesn't show up, standby players backfill in order. If check-ins exceed the cap, the system runs a draw to decide eligibility by tier: selected, then standby, then walk-in.
How does QR check-in work?
After publication, every selected player receives a notification with a personal check-in QR code and link. On event day, staff scan each player's personal QR to check them in instantly; if a camera isn't available, the code can be typed in manually. Players who didn't receive the notification can re-send it via phone verification.
Can I customize the signup form fields?
Yes. Built-in fields cover name, HKID first 4 digits, phone and email (with a PDPO consent checkbox), and you can add your own custom fields on top, plus an anti-bot question to block fake signups.
How do you stop people signing up after the event is full?
The system has a registration open time and a capacity cap: before opening it shows a countdown, and once full it closes automatically and routes further signups to the standby queue. Anti-bot questions and format validation keep fake or over-cap entries out.
What's the difference between FCFS and lottery?
First-come-first-served fills slots in signup order until full. Lottery mode draws selected players and standby order once the signup window closes, so signup timing doesn't affect your odds. A lottery can publish automatically at a set time, or the organizer can publish it manually with one tap.
How do players find out if they're selected?
After publication the system automatically emails everyone who provided an address: selected players get a 'Selected' notice, and standby players get their standby position (e.g. #3). Each person receives only the message for their own tier.
Can people who show up on the day still enter?
Yes. The organizer can display a walk-in QR code: players scan it on their phone, fill in the form, and join the walk-in list instantly. If slots remain or open up through no-shows, walk-ins backfill in system-draw order.
How is signup data privacy protected?
The signup form includes a PDPO (Personal Data Privacy Ordinance) consent checkbox that must be ticked before submitting, and the data collected is used only for event registration, notification and check-in. See the site's Privacy Policy for details.
